Client Media Consent Governance

Effective Date: 2026 · Invictus Energy Solutions, LLC

1. Scope & Purpose

This policy applies to all media assets — including logos, photographs, testimonials, and case study materials — submitted by clients via the Client Media & Marketing Authorization form. It defines the internal governance controls that ensure consent is obtained, documented, honored, and auditable across all Invictus Energy Solutions marketing channels.

2. Consent Collection

Consent is collected and validated under the following requirements:

  • Consent is collected exclusively through the signed Client Media & Marketing Authorization form.
  • The authorizing individual must be a verified corporate representative of the client entity.
  • Each submission is timestamped and linked to the client record in our internal CRM.
  • Consent is asset-specific — each permission type (logo, testimonial, site photos, case study) is independently granted.

3. Permitted Uses

Authorized assets may be used solely for the purposes explicitly selected during authorization, which may include:

  • Website case studies and project portfolio pages.
  • Sales and marketing collateral (digital and print).
  • Social media posts and press releases.
  • Investor and partner presentations.

Assets will not be sold, sublicensed, or shared with third parties outside of Invictus Energy Solutions without separate written consent.

4. Retention & Storage

Consent records are retained for a minimum of 7 years from the date of authorization or until the client relationship is formally terminated, whichever is later. Media assets are stored in access-controlled internal systems and are not publicly indexed.

5. Revocation of Consent

Clients may revoke consent at any time by submitting a written request to info@invictusenergyus.com. Upon receipt, Invictus Energy Solutions will:

  • Cease all new use of the specified assets within 10 business days.
  • Remove assets from active marketing materials where technically and commercially feasible.
  • Archive the revocation record alongside the original consent record.

Revocation does not apply retroactively to materials already published or distributed prior to the revocation request.

6. Governance & Accountability

The Marketing and Legal teams jointly own this policy. Any use of client media assets must be approved by the designated Marketing lead and logged in the internal asset registry. Violations of this policy are subject to internal disciplinary review.

7. Policy Updates

This governance policy may be updated periodically. Clients with active authorizations will be notified of material changes via email. Continued use of client assets following notification constitutes acknowledgment of the updated terms.
